Apple Mail Settings for UCSC Google Email

These instructions are meant for setting up new accounts and configurations or for checking your settings. They are not intended to be used to migrate from POP to IMAP email settings. If you encounter difficulties, please contact the ITS Support Center.
If you already have your email client or mobile device set up to use CruzMail, then on or after Nov. 14, all you need to do is change your settings to the following:

Apple Mail 10.4 (Tiger) IMAP Configuration
- Launch Apple Mail from the Applications folder or from the icon in your dock.
- If you have no previous accounts set up in Apple Mail you will see this "Welcome to Mail" screen come up.
- If you already have an account configured in Mail then it will simply launch you into the program. To create an additional IMAP account for UCSC in Mail, go to the Mail tab, and select Preferences , then Add Account.
- Select IMAP as the Mail Server Type .
- The Description should be something generic like "My UCSC Google Account".
- Enter your First and Last Name in the Full Name field.
- Enter your @ucsc.edu email address in the Email Address field.
- Click Continue.
- In the Incoming Mail Server field, enter: imap.gmail.com
- Enter in your account name in the User Name field. This is your full email address, name@ucsc.edu.
- If you want your password to be saved, then enter your UCSC account password in the Password field. If this is left blank, the Mail application will prompt you for your password each time you check for mail. Note: Not recommended for computers which are publicly accessable or in insecure areas. Saving your password may enable others to access your email.
- Press Continue
- Check Use Secure Socket Layers (SSL).
- Select Password from the pulldown menu .
- Click Continue.
- In the Outgoing Mail Server field, enter smtp.gmail.com
- Enable Authentication by clicking the checkbox.
- Enter your Username and Password
- Verify that all the information is correct.
- Click Continue.
Configuring Your New Account
- In the Outgoing Mail Server section, click on the Server Settings button. This will bring up the SMTP Server Options window.
- Verify that smtp.gmail.com is entered in the Outgoing Mail Server field.
- The Server Port should be 465.
- Check the box that says "Use secure Sockets Layer (SSL)" .
- Authentication should be set to Password .
- Click on OK to save these changes. This will bring you back to the Accounts window.
Verify Your New Configuration
- In the Accounts section, select the Account Information tab, and verify that your Email Address and Incoming Mail Server information in is correct.
- Click on the Advanced tab.
- In the Advanced section, Enable this account and Include when automatically checking for new mail should both be checked.
- In the "Keep copies of messages for offline viewing :" section, you can opt to have your computer download mail onto your hard drive, so you can view it when not connected to the Internet. All messages and their attatchements is the reccomended setting.
- Make sure that Use SSL is checked. When this is checked, the port number should be showing 993.
- Authentication should be set to "Password".
- Verify all settings are correct, and close the Accounts window. Apple Mail is now correctly configured for UCSC Google email use.
Apple Mail 10.4 (Tiger) POP Configuration
- Make sure to first change your Google email settings to enable POP by logging into your email at http://email.ucsc.edu and follow these Instructions.
- Launch Apple Mail from the Applications folder or from the icon in your dock.
- If you have no previous accounts set up in Apple Mail you will see this "Welcome to Mail" screen come up.
- If you already have an account configured in Mail then it will simply launch you into the program. To create an additional POP account for UCSC in Mail, go to the Mail tab, and select Preferences , then Add Account.
- Select POP as the Account Type .
- The Account Description should be something generic like "UCSC Google Email".
- Enter your First and Last Name in the Full Name field.
- Enter your @ucsc.edu email address in the Email Address field.
- Click Continue.
- In the Incoming Mail Server field, enter: pop.gmail.com
- Enter in your account name in the User Name field. This is your full UCSC email address, name@ucsc.edu.
- If you want your password to be saved, then enter your UCSC account password in the Password field. - In the Outgoing Mail Server section, click on the Server Settings button. This will bring up the SMTP Server Options window.

- Add your full name, email address, and email password.
- Click Continue.
- Verify that Use Secure Sockets Layer is checked, and that Authentication is Password
- Click Continue
- For Account Type choose IMAP
- For Description enter UCSC Google Email
- Incoming Mail Server should be imap.gmail.com
- Enter Username (your full email address, name@ucsc.edu) and Password
- Click Continue
- In Description, enter UCSC Google Email outgoing
- Outgoing Mail Server should be smtp.gmail.com
- Check Use Only this server
- Check Use Authentication
- Enter your Username (your full email address, name@ucsc.edu) and Password
- Click Continue
- Verify Use Secure Sockets Layer is checked, and Authentication is Password
- Click Continue, then finish by clicking Create
Configuring Your New Account
- Go to Preferences in the Mail menu at top left
- Click on Accounts icon
- Highlight your new account, and click Advanced
- In Port, verify that port 993 is chosen, SSL is checked, Authentication is Password, and Use IDLE command...is checked
- Click Account Information tab
- From the Outgoing Mail Server dropdown menu, click on Edit Server List
- Select your Outgoing server setting, and click the Advanced tab
- Verify that Server Port is 465, Use Secure Sockets Layer is checked, and Authentication is Password
- Verify your username and password are in the fields below
- Click OK

Configuring Your New Account

- Enter Username (your full email address, name@ucsc.edu) and Password.
- Click Continue.
- In Description, enter UCSC Google Email.
- Outgoing Mail Server should be smtp.gmail.com.
- Check Use Only this server.
- Check Use Authentication.
- Enter your Username (your full email address, name@ucsc.edu) and Password.
- Click Continue.
- Verify Use Secure Sockets Layer is checked, and Authentication is Password.
- Click Continue to view the New Account Summary
- Verify that the information is correct, then finish by clicking Create.
Configuring Your New Account
- Go to Preferences in the Mail menu at top left.
- Click on Accounts icon.
- Highlight your new account, and click Advanced.
- Enable this account and Include when automatically checking for new mail should both be checked.
- In the "Remove copy from server after retrieving a message:" section, you can opt to have your computer keep a copy of your messages on the Cruzmail server so you can download them from a different location. After one month is the recommended setting.
- Make sure that Use SSL is checked. When this is checked, the port number should be showing 995.
- Authentication should be set to "Password".
- Verify all settings are correct, and close the Accounts window. Apple Mail is now correctly configured for UCSC Google Email use.
