Identity Management Statuses and Lifecycle

This page contains details of the four major affiliation "status" types to be tracked by the Identity Management System.

Identity Management will manage CruzID Accounts for members of the campus. Initially, Identity Management is focused on four different types of campus affiliations that affect access to services. These affiliations are listed below. Click on the affiliation type to see details of how that affiliation is managed.

Employee Status Lifecycle
Tracks a person's status as an employee of the campus. This is determined from PPS data (exception: see the "Employee - Staged" status under "Other Status Lifecycle").
Faculty Status Lifecycle
Tracks a person's status as a teaching faculty member. This attribute is determined from Academic Personell Office's DivData database.
Student Status Lifecycle
The person's status as a student. This is determined from information in the Academic Information System.
Other Status Lifecycle
This category of affiliation refers to people who requiring system accounts, but whose affiliation cannot be determined from campus source systems. E.g., consultants, guests, and ex-employees. Accounts and access associated with "other" affiliates will require periodic review.
Notes

It is possible for a person to fall into multiple categories simultaneously; Faculty are usually also Employees, and student employees are both Students and Employees. In these cases, IDM tracks ALL valid affiliations separately for each person.

For the first three categories, many services are automatically provided. For example, all "Active" Employees will receive email accounts. The "Oother" category is different in that any services provided to an "Other" affiliate would need to be manually approved.


Employee Status Lifecycle

Legal values:

  • Active: Current Employee
  • Leave: Employee on leave (paid or unpaid)


Faculty Status Lifecycle

Legal values:

  • Active: Current Faculty (includes faculty with "Emeritus" appointments in DivData)
  • Affiliated: "Incoming" or "Outgoing". Represents faculty that have been hired but have not yet started work or those that recently left but presumably still need access to systems (e.g., to enter grades).


Student Status Lifecycle

Legal values:

  • Applicant: Has submitted an application (limited services)
  • Incoming: Has accepted admission to UCSC as a regular student (but has not begun regular classes)
  • Active: Enrolled in classes in most recent "active" (e.g., non-summer) term.
  • Inactive: No longer taking courses during ane an "active" term (i.e., expected to be taking classes but isn't). Also includes students who have graduated in the previous quarter, or who are are on filing fee.
  • Leave: On approved Leave of Absence.


Other Status Lifecycle

Legal values:

  • Staged (Employee): An account provided to someone who is expected to become an employee (e.g., after an offer is made, but before entry in PPS). Staged status is set to expire shortly after expected hire date. If employee is not officially hired (per PPS) by that date, account is closed.
  • Other: An account provided to someone otherwise not affiliated with UCSC. All "Other" accounts have an expiration date. (Note, this status is literally "Other").
