Account Management CruzID Account
Your CruzID is your only official UCSC and UCOP contact.

To use a campus email services, MyUCSC, or computing and networking resources, you must have a CruzID Account.

  • For Students, Faculty and Staff who arrived at UCSC after 8/07, your CruzID account is automatically generated. CruzIDs for faculty are usually created before their arrival on campus. Faculty who are not notified of their CruzID after arrival should contact the ITS Support Center. Employees are given a CruzID form during their onboarding process to complete, obtain indicated signatures, and email or fax the form to the ITS Support Center for processing.

  • For people who are associated with UCSC prior to 8/07, your CruzID will originate from the ID and password you currently use to sign on to your UCSC email account. CruzID is the new name for what you may have referred to in the past as your "CATS account", "UCSC ID", or "CruzMail account"

  • Sundry accounts are available to individuals with a business need to use UCSC services. Some of the individuals who qualify for a Sundry CruzID account are; non-emeriti faculty, concurrently enrolled students, extension students, Summer Session students, and individuals/agencies officially affiliated with UCSC (contracting agencies). Such qualification of proven affiliation is at the discretion of ITS. Eligibility is subject to compliance with university policy.
Non CruzID Account(s)
Non CruzID accounts include: PPS, NES, FIS, CruzBuy, Data Warehouse, Infoview, and Business Objects accounts.
These accounts are not currently considered CruzID accounts and require special paperwork. Forms for inclusion into these systems can be downloaded from: http://its.ucsc.edu/services/accounts/forms.php.

UCSC Global Mailing Lists are for faculty, staff and students who wish to repeatedly mail to a list of individuals. Mailing lists are also used by campus organizations or units where more that one person answers email addressed to the organization. A feature often overlooked about a mailing list is that it can provide an official contact point for a campus unit or office, independent of vacation schedules or personnel changes. In this case, the list provides an unchanging contact point, the recipients of which can be changed as needed to point to the correct person currently handling the contacts in that unit or office. You can fill out this form to create global mailing lists: http://its.ucsc.edu/services/help_desk/mailinglists.php

A functional account is an account where many people can give the appearance of being a single entity. We use them sparingly. Functional accounts at UCSC all have 2 things in common:

  • They come with an end date
  • A single owner must take responsibility for the shared account.
If you think you may require a functional account, please contact the Accounts team at 459-4357.

Policy Account Closure Policy

Employee accounts will be closed when the employee separates from the campus. The employee's unit may contact the ITS Support Center to request an extension or re-enabling of the account if there is a business need for the account to remain open. Supervisors are no longer able to access employees email accounts after employees leave. Please consider other arrangements such as the unchanging contact point described above under "Sharing an Email."

Faculty accounts will remain active for 90 days beyond their separation date. The unit may contact the ITS Support Center to request an extension of the account. Emeriti retain their faculty affiliation after retirement (Emeriti are retired Senate members, or retired non-Senate academic employees who have had the Emeritus title conferred upon them by the Chancellor.)
Faculty will retain their faculty affiliation for 90 days (a.k.a. one quarter) prior to an appointment and for 90 days after an appointment ends.

Student accounts generally remain open for one full quarter after a student graduates. For example, a student graduating in fall 2007 would have their account close on the first day of spring quarter 2008, skipping winter quarter. More information on students status is available on this flow chart: http://its.ucsc.edu/idm/status_types.php#student
