Outlook (IMAP) Configuration for Windows

Outlook 2003 configuration starts here:


NOTE: These instructions are meant for setting up new accounts and configurations or for checking your settings. They are not intended to be used to migrate from POP to IMAP email settings. If you are already using software other than the CruzMail web page (https://cruzmail.ucsc.edu) to access your email at UCSC and you wish to change email clients and do not fully understand how to do so, then contact the Support Center for help.

Basic settings

Username your Cruz ID ( do NOT include @ ucsc.edu)
Incoming Mail Server cruzmail.ucsc.edu
Return Address <username>@ucsc.edu
Outgoing (SMTP) Mail Server cruzmail.ucsc.edu

 

  1. You can launch Outlook either by double-clicking on the Outlook icon on your desktop, or by selecting:
    Start > Programs > Microsoft Office > Microsoft Office Outlook 2003.
  2. Once the application has launched, select Tools > E-Mail Accounts...
  3. Select Add a new e-mail account and click Next >

In the Server Type screen:

  1. Select IMAP
  2. Click Next .

In the Internet E-mail Settings (IMAP) screen:

  1. Enter Your Name
  2. Enter your E-Mail Address
  3. Enter Incoming mail server (IMAP): cruzmail.ucsc.edu
  4. Enter Outgoing mail server (SMTP): cruzmail.ucsc.edu
  5. Enter User Name: your UCSC account name (do not include @ucsc.edu)
  6. If you would like Outlook to save your password, enter your UCSC account password in the Password field and make sure the Remember Password box is checked. If you choose not to enter your password here, Outlook will prompt you to enter it every time you check for mail. Note: Not recommended for computers which are publicly accessable or in insecure areas. Saving your password may enable others to access your email.
  7. Click More Settings

The Internet E-mail Settings window will appear:

  1. Click on the Outgoing Server tab.
  2. Click the My outgoing server (SMTP) requires authentication checkbox.
  3. Make sure Use same settings as my incoming mail server is selected

  1. Click on the Advanced tab.
  2. The Incoming server (IMAP) field should be set to port 993 .
  3. The Outgoing server (SMTP) field should be set to port 465 .
  4. Check both boxes for This server requires an encrypted connection (SSL) .
  5. Click OK

     

  1. Click Finish to save your email client configuration settings.

Outlook 2007 (IMAP) Configuration for Windows

If you are already using software other than the CruzMail web page (https://cruzmail.ucsc.edu) to access your email at UCSC and you wish to change email clients and do not fully understand how to do so, then contact the Support Center for help.


  1. You can launch Outlook either by double-clicking on the Outlook icon on your desktop, or by selecting: Start > Programs > Microsoft Office > Microsoft Office Outlook 2007.
  2. Since this is the first time Outlook has run, you will automatically be directed to the Add New E-mail Account Wizard.
  3. Enter your full name, email address and click the “Manually configure server settings…” check box at the bottom. Click Next.


  1. Select Internet E-mail and click Next.


In the Internet E-mail Settings screen -

  1. Enter Your Name
  2. Enter your E-mail Address
  3. From the Account Type drop down box, select IMAP
  4. Enter Incoming mail server: cruzmail.ucsc.edu
  5. Enter Outgoing mail server: cruzmail.ucsc.edu
  6. Enter User Name: Your UCSC account name (do not include @ucsc.edu)
  7. Click More Settings


Another Internet E-mail Settings window will appear -

  1. Click the Outgoing Server Tab
  2. Click the My outgoing server (SMTP) require authentication check box
  3. Make sure the Use same settings as my incoming mail server button is selected

  1. Click the Advanced tab
  2. The Incoming server (IMAP) should be: 993
  3. Check This server requires an encrypted connection (SSL) box
  4. The Outgoing server (SMTP) should be: 465
  5. Select SSL from the Use the following type of encrypted connection drop down box.
  6. Under Delivery, check the Leave a copy of messages on the server box
  7. Check the Remove from server after box and enter 14 in the days box.

  1. Click OK and click Next at the Congratulations window and you are done.
