AT&T Teleconference Calling

Follow the instructions below to reserve a teleconference through AT&T. Before making your reservation, you will need to obtain a password that will allow you to set up your call with AT&T. Please call ext. 9-4255 or email NetTel@ucsc.edu to obtain the UCSC password..

When calling the special AT&T TeleConference Calling Reservation Center, you can expect the following :

  • Questions about the various call options and explanation of features can be answered by the reservation center.
  • For Specialist assistance during any call, dial # then zero (0) for the menu and zero (0) to summon a specialist.
  • For billing questions on your UCSC bill contact itsbill@ucsc.edu.
  • For all other issues, please contact 459-4255 or email NetTel@ucsc.edu.

AT&T TeleConference Services Reservation Instructions

Step 1: Plan your TeleConference Call

  • Note Date and Time/Time Zone and Required Duration of TeleConference
  • Know The Number of Participants
  • Select Either Toll Free Dial-In, Caller Paid Dial-In or combination (automated or Operator Assisted), Operator Dial Out or Mixed Mode (Operator Dial Out & Dial-In participants on one teleconference). See end of this document for pricing.
  • Decide If You Need Special Features – e.g. Recording, Transcription, etc.

Step 2: Contact AT&T Reservation Center via telephone or Internet. AT&T Reservation Center: 1-800-526-2655

Step 3: Specialist will prompt for:

  • TeleConference Folder ID: (If none, Specialist will create a new folder)
  • Host Information: The Host’s Name, Office telephone number
  • Company Name: University of California - Santa Cruz
  • Password

Step 4: Provide the Specialist with your call details. (see Step 1)

Step 5: Depending on the type of call specified, the Specialist will provide you with:

Operator Dialed Conference ID number
Toll Free Dial-In Toll Free dial-in number plus access codes for host and participants
Caller Paid Dial-In Ten digit telephone number plus access codes for host and participants
Mixed Mode Dial-in numbers and access codes for dial-in participants and/or conference ID for operator-dialed portion
Combination (Combo) Toll Free dial-in number plus Ten digit Telephone number plus access codes for host and participants

Step 6: Inform participants of all conference details including the name of the Host. Making sure that all participants have correct dial-in information for the conference call results in a successful meeting.

Special Notes about previous AT&T accounts:

AT&T TeleConference Reservations made under the number 1-800-232-1234 are not included in your corporate plan and will not be discounted. If this is a new corporate plan and you currently have any scheduled calls under either the Operator Dialed or Dial-In service those calls will need to be moved to your Corporate Plan. Discounts are not automatically applied to existing reservations. To receive the reduced rates, you must move all calls and/or folders to the corporate plan. Please contact AT&T TeleConference Services at 1-800-526-2655. The specialist will can make changes.

If you have established a user id and password for the Internet Reservation process prior to converting to your new corporate plan, please be aware that you must use the Internet web site included in this package to be entitled to your discount. If you have been accessing the Reservation system through a different web site you must stop immediately and use the web site listed below. You may need to change your user id and password to use this site.

AT&T TeleConference Host folders are automatically deleted from our system if there is no call activity in a 6-month period. This would include any Reservationless numbers that are registered in the Host folder.

All employees must use the reservation number AT&T Reservation Center: 1-800-526-2655 and password provided by UCSC Communications and Technology Services.


AT&T TeleConference Call Billing

ITS is the billing manager for the AT&T Teleconference calls. All bills come to one single billing number and are recharged through the UCSC accounting system. CATS adds a 10% service charge to all third party bills billed through our billing system. Also note that AT&T adds Universal Connectivity Charge and other surcharges to each Teleconference call. These also run about 10%.

AT&T TeleConference Internet Reservations

You can also make conferencing reservations 24 X 7 from the convenience of your computer.

At this time, you can use the Internet to reserve all your Auto Dial-In conference calls, for both caller-paid and toll-free call types. Not only can you make future reservations, you can also schedule on-demand calls to handle those emergency situations. You can also schedule all your recurring conference call reservations, whether they are held on a daily, weekly or monthly basis. You can change or cancel your reservations via the Internet, truly allowing you to manage your conference needs. In addition, you can request the feature ‘auto port expansion’. With auto port expansion, additional ports will be added to your call without the intervention of a Specialist (as long as facilities are available).

Note: Operator Assisted Calls or Operator Dialed calls are not available at this time.


User Instructions

Your company has enrolled for Internet Reservations. To be able to use Internet reservations, you will be required to enroll for the Internet reservation capabilities by completing these steps.

  1. Hosts must have a Folder established with AT&T TeleConferencing. If you have made reservations before with AT&T TeleConference Services via the telephone, you already have a folder established in our system. If you do not know your teleconference folder ID, please contact our Reservation Center at 1-800-526-2655 to obtain your folder id. If you have not made a reservation in the last 6 months you will need to create a new folder.
  2. If you know your teleconference folder id. Please go into IRES. https://www.teleconference.att.com/resv
  3. Go into New User Registration.
  4. At the Corporate Login screen, enter your company’s User ID and Password. This information is only required the first time you log in. Subsequent entries into IRES will ask you for your Individual ID and Password. Please contact UCSC Telecommunications for the initial log in ID and Password
  5. Complete Section 1 - type in your teleconference folder id and Host last name. Then go to Section 3 – Security Information and complete that section. You will need to pick a Pin number, an Individual ID and an individual Password.
    Pin #: 4 digits; Individual ID: minimum of 6 digits - alpha/numeric; Password = 6-20 alpha/numeric. (You may wish to use your TeleConference Folder ID, employee number, or pick an ID, which will be easy to remember.) You will need to remember this information for subsequent entries into IRES (this ID and Password will replace your Company ID and Password).
  6. Click on submit.
  7. You will get a confirmation that your request has been entered and that you will be sent a Security Key through email that will enable you to activate your folder. The confirmation for the Security Key should arrive within five minutes. If you do not receive your security key within this time frame please call 1-800-586-1749. The Security Key will be sent to the Host’s e-mail address.
  8. Once you receive your Security key, you would follow the directions listed below to activate your folder:
    1. Click on this link to Login:
      https://www.teleconference.att.com/resv/CorpLogin.html
    2. Enter the User ID and Password you previously selected in the appropriate fields.
    3. Select the 'Submit' button.
    4. You will be prompted for your Security Key. Please enter it.
    5. Select the 'Submit' button.
  9. Once you enrolled, you can begin making conference reservations.
  10. Go into Index of Services page to make your teleconferencing reservations. Click on Make a Reservation. Follow the directions; you can make a conference reservation for a call now, later or recurring (up to one year out).
  11. Once you begin scheduling conferences, you will be prompted for a password. Please enter this in the appropriate field. Enter the information as prompted. Select call option and features. If you miss a selection the system will report with an error and inform you of the information to correct.
  12. You’ll receive a Confirmation Page once you've submitted your reservation. Please print and save this information. At the bottom of the Confirmation Page, you can send an e-mail confirmation to your participants who are listed on your contact list
  13. To see a list of your reserved conference calls, go back to Index of Services. Click on My Conferences. You will see all of your conferences that have been scheduled by voice and via the Internet reservations.
  14. To see a listing of your previous calls, you may access the History List to view time and ports for your completed conferences.
  15. If you need to change or cancel a scheduled call, simply follow the prompts. Conferences highlighted in yellow are not changeable via the Internet. You will need to call the reservation center.
  16. Some users, such as Administrative Assistants, have a need to access more than one folder during a single login session. This feature is available, and the person making reservations on behalf of the other Hosts is called an Internet Assistant. Then the Host must explicitly designate that person as their Internet Assistant on their profile in the Internet system. This is done by accessing the “My Profile” from the Index of Services Tab, click on the Assistants link and enter the User ID. Once complete, the Internet Assistant can log into the Corporate Internet site and start making reservations on the Hosts’ behalf.

Hardware/Software Frequently Asked Questions

IRES is best viewed with Netscape Navigator 4.05, but you can also use Microsoft Internet Explorer 4.0 and Netscape Navigator 3.01 or later versions.

Question: What browsers can be used to access the online reservation system?
Answer: The browser must support Secure Sockets Layer (SSL) and JavaScript.

Question: How do I know which browser version I have?
Answer: While in Netscape, click on the Help menu, and then click on About Netscape. The version number is listed there. You must use 3.01 or later. While in Internet Explorer, click on the Help menu, and then click on About Internet Explorer. The version number is listed there. You must use version 4.0 or higher.

Question: What do I need from a hardware perspective to use the system?
Answer: Please refer to Netscape or Microsoft for the minimum requirements needed to run Netscape 3.01 or later or Internet Explorer 4.0 or later. Or, check with your company's Network or System Administrator.


AT&T TeleConference Internet Service – Creating your own Host Folder

In order to make a reservation through our Internet Reservation process, you will need to have a folder created for your use. There are 2 ways that you can have a folder created:

Through the Internet Web Site:

  1. Please go to our Corporate Internet Web site https://www.teleconference.att.com/resv

By Contacting our Reservation Center:

Contact our Reservation Center at 1-800-526-2655 and ask our Specialist to set up the folder on your behalf. They will ask for the Host name, telephone number, email address and current address as well as your name, telephone number, email address and fax number if you are creating the folder on behalf of someone else. After the Specialist has created the folder, they will provide you with a teleconference folder id that you can use when you would like to use the Internet Reservation System. If you would like to enroll in the Internet Reservation system, please follow the directions above, “AT&T Internet Reservations”.
