UCSC Voicemail for Faculty and Staff

The Telecommunications department offers three levels of voicemail boxes. A Basic voicemail box (adequate for most clients) allows up to 20 messages to be stored at one time. An Enhanced Voicemail box allows 40 messages to be stored, and a Premium voicemail box allows up to 70 messages. Ordering Voicemail

Many administrative telephone lines have voicemail boxes assigned to them. However, voicemail service is optional and will not be assigned to an administrative telephone line unless the service is requested by the telephone contact person. If you are a telephone contact person and would like to request voicemail service for a telephone line, please use our Network and Telephone Service Change Request form.

Activating Your Voicemail Box

From your own telephone, dial 9-3000. The voice prompt will greet you and ask you to enter your passcode. Enter the temporary passcode that has been assigned to you.
After you enter the temporary passcode,voice prompts will guide you through the process of entering your permanent passcode and recording your personal greeting and name.
Note: Until you activate your voicemail service, your callers will hear the message, "I'm sorry, but the person you called did not activate the voice messaging service. Please try again later. Good-bye."
Once you have completed the tutorial, your voicemail box will be ready to accept messages.

How to Access Your Messages

When a message is left in your voicemail box, an interrupted dial tone is activated on your telephone. On digital telephones the presence of a new message is also indicated by the Message Waiting light. When you lift the receiver, this interrupted dial tone will let you know if there is an unplayed message waiting for you. The interrupted dial tone will remain on the line (and the Message Waiting light will remain lit on a digital telephone) until every unplayed message in the mailbox has been listened to.

Entering Voicemail (to check your messages, etc.)

From Your Own Telephone
  1. Dial ext. 9-3000 (On a digital telephone, you can also press the Message Waiting key (if light is flashing)
  2. When prompted, enter the passcode you created during the tutorial.
  3. Voice prompts will tell you how to listen to your messages, how to delete, save, and forward your messages, and how to make messages for other UCSC voicemail system users.
From Another Voicemail User's Telephone
  1. Dial ext. 9-3000
  2. During the prompt from the voicemail system, press *
  3. Enter your voicemail box number (your campus extension). At this point, you will hear your outgoing voicemail greeting.
  4. Press * again to log in to your voicemail box
  5. Enter your voicemail passcode
  6. Voice prompts will tell you how to listen to your messages, how to delete, save, and forward your messages, and how to make messages for other UCSC voicemail system users.
From All Other Telephones
  1. Dial ext. 9-3000 (or (831) 459-3000 from off campus)
  2. Enter your voicemail box number (your campus extension). At this point, you will hear your outgoing voicemail greeting.
  3. Press * to log in to your voicemail box
  4. Enter your voicemail passcode
  5. Voice prompts will tell you how to listen to your messages, how to delete, save, and forward your messages, and how to make messages for other UCSC voicemail system users.

Enter your mailbox (see How to Access Your Messages).

Press for USER OPTIONS
User Options include:

  Listen to CALL SCHEDULE

Then press to audit FUTURE delivery messages.

Making a Message
Enter your mailbox (see How to Access Your Messages).

Press n6/Mno Key to MAKE a new message.

Enter the mailbox number of the person to whom the message will be sent.

To make a message for a distribution list, enter the 2-digit distribution list number in place of the mailbox number. Continue to add mailbox numbers and/or distribution list numbers.
If you make a mistake, press n* Key to cancel the entry.

Press n# Key to end list and begin recording your message.

To resume recording press any other key.
Your message won't be sent until you press n9/wXy Key or hang up.

Message Addressing
After making, giving or answering a message:

PRESS: n6/Mno Key
for MESSAGE addressing options, then choose one or more options:
marks message CONFIDENTIAL (prohibits recipient from forwarding your message).
n7/pRs Key ! requests RECEIPT (notifies you when the recipient has listened to your message).
marks message URGENT (message played first regardless of when the message arrived).
schedule for FUTURE DELIVERY (allows you to specify time & date, up to 60 days in the future, for message to be sent. When recipient listens to your message, time stamp reflects time/date you specified for delivery.
n9/wXy Key to EXIT message options.
n9/wXy Key to send your message.

Creating Distribution Lists
Enter your mailbox (see How to Access Your Messages).

Press for USER OPTIONS.

Press to create or modify a LIST.


Enter the list number (number 0 to number 09).

Press to NAME your list, and record a list name.

Press n9/wXy Key to save the name.

Press n2/ABC Key to ADD each member to the list.

Enter the mailbox number for the person to be added.

Repeat n2/ABC Key + mailbox number for each additional name.

Press n9/wXy Key to save changes and EXIT to main menu.

Modifying Distribution Lists
Enter your mailbox (see How to Access Your Messages).

Press for USER OPTIONS.

Press to create or modify a LIST.


Press the list number (number 0 to number 09) to change.

Press n7/Prs Key to PLAY all members on the list.
Press n2/ABC Key to ADD a member
Press n3/DEF Key to DROP a member


Enter mailbox number of member to add or drop.

Repeat n2/ABC Key or n3/DEF Key if required.


Press n9/wXy Key to save changes and EXIT to main menu.

Exiting Your Mailbox

Press n9/wXy Key to EXIT, and hang up.
