During the academic year, a voicemail box is assigned to
each telephone line and is shared by all of the residents using that line. Your
voicemail box can be accessed from any touchtone telephone. SCS Voicemail includes
many features and options for sending messages. Please choose from the options
below to learn more about SCS Voicemail.
NOTE: Due to the temporary nature of many summer residents, voicemail is not
automatically available to all residents during the summer. Please speak to
your supervisor or program coordinator about whether voicemail is available
to you during the summer.
How to Activate Voicemail
Before your voicemail box will accept messages, you must activate your voicemail
box by changing your passcode and recording a greeting. Until your voicemail
box is activated, callers will hear a message saying, "I'm sorry, but the
person you called did not activate the voice messaging service. Please try again
later. Good-bye." Follow the steps below to activate your voicemail.
NOTE: This procedure can only be completed by one person. If you have a roommate,
please coordinate with him or her before attempting to activate your voicemail
box.
- From the telephone in your own room, dial ext. 9-3000.
- The voice prompt will greet you and ask you to enter your passcode. Enter
your temporary passcode, which you will have received from your college Housing
or Res. Life office.
- The voicemail system tutorial will guide you through the process of entering
your permanent passcode and recording your personal greeting and name. Please
remember that your telephone line may be shared by other students in your room.
If you change the voicemail passcode, be sure to let your roommate(s) know what
the new passcode is.
When you have completed the tutorial, your voicemail box will be ready to accept
messages.

Your Voicemail Passcode
You will receive your temporary voicemail passcode from your college Housing/Res.
Life Office when you receive your telephone number. In order to activate your
voicemail box so that it will accept messages, you or your roommate will need
to change the passcode and record a greeting (See
How to Activate Voicemail) If you are the person who activates the voicemail
box, be sure to let your roommate know the new passcode you have chosen.
NOTE: If you are unable to log in to your voicemail using the passcode provided
to you by your college Housing office, ask your roommate whether he/she may
have already changed the passcode.
If you move into a room that was previously occupied by students who no longer
reside there, and you are not able to log in to your voicemail using the passcode
given to you by your college housing office, please complete the on-line
passcode change request.

New Message Notification
When a message is left in your voicemail box, an interrupted dial tone is activated
on your telephone. When you lift the receiver, this interrupted dial tone will
let you know if there is an unplayed message waiting for you. The interrupted
dial tone will remain on the line until every unplayed message in the mailbox
has been listened to. If you have listened to a message that is for your roommate
and want them to know that there is a message waiting, you can leave a new message
to re-activate the interrupted dial tone.

How to Access Your Messages
From Your Telephone
- Dial ext. 9-3000.
- When prompted, enter the passcode you (or your roommate) created during the
tutorial.
- Voice prompts will tell you how to listen to your messages, how to delete,
save, and forward your messages, and how to make messages for other UCSC voicemail
system users.
From Other Campus Phones with Voicemail
- Dial ext., 9-3000
- When the voicemail system answers, press the * key.
- Enter your five-digit extension (the last five digits of your telephone number),
plus the * key.
- Enter the passcode you created during the tutorial.
- Voice prompts will tell you how to listen to your messages, how to delete,
save, and forward your messages, and how to make messages for other UCSC voicemail
system users.
From Off-Campus Telephones
- Dial (831) 459-3000
- When the voicemail system asks you to enter a mailbox number, enter your
voicemail box number (the last five digits of your telephone number), plus the
* key.
- Enter the passcode you created during the tutorial.
- Voice prompts will tell you how to listen to your messages, how to delete,
save, and forward your messages, and how to make messages for other UCSC voicemail
system users.

Making a Message
Enter your mailbox (see How to Access Your Messages).
Press to MAKE a new message.
Enter the mailbox number of the person to whom the message will be sent.
To make a message for a distribution list, enter the 2-digit distribution list number in place of the mailbox number. Continue to add mailbox numbers and/or distribution list numbers.
If you make a mistake, press to cancel the entry.
Press to end list and begin recording your message.

Message Addressing
After making, giving or answering a message:
Creating Distribution Lists
Enter your mailbox (see How to Access Your Messages).
Press for USER OPTIONS.
Press to create or modify a LIST.
Enter the list number (number 0 to number 09).
Press to NAME your list, and record a list name.
Press to save the name.
Press to ADD each member to the list.
Enter the mailbox number for the person to be added.
Repeat + mailbox number for each additional name.
Press to save changes and EXIT to main menu.
Modifying Distribution Lists
Enter your mailbox (see How to Access Your Messages).
Press for USER OPTIONS.
Press to create or modify a LIST.
Press the list number (number 0 to number 09) to change.

Press to PLAY all members on the list.
Press to ADD a member
Press to DROP a member
Enter mailbox number of member to add or drop.
Repeat or if required.
Press to save changes and EXIT to main menu.
Exiting Your Mailbox
Press to EXIT, and hang up.

Voicemail Storage Capacity
Your voicemail box can store up to ten (10) messages, and each message can be
stored for up to thirty (30) days. Any messages more than 30 days old will be
automatically deleted from the system. Your message count includes both new
and saved messages. If your mailbox is full, callers will hear a message to
that effect instead of your outgoing message, and they will be unable to leave
a message for you. To maximize the number of new messages your mailbox can receive,
remember to delete a message once you have listened to it, provided that the
message is for you. (See Playing a Message
for instructions on deleting a message.)

Voicemail Tricks and Tips
Leave a message for a voicemail subscriber without ringing their telephone.
To do this, simply make a message for the other person (see Making
a Message). Your new message will activate the person's interrupted dial
tone, just as if you had called them directly. Use this method of leaving a
message when you don't want to disturb the person, e.g. when you think they
might be sleeping.
Send yourself reminders about important dates or
deadlines. To send yourself a reminder, simply make a message for your own voicemail
box then schedule it for delivery at the appropriate date and time. See Message
Addressing for information on using this and other addressing options.
