Documentation

Documentation & Manuals are generally sold separately from the software license. Check the vendors price list for manuals and document prices. Software licenses are taxed when manuals and documents are purchased.

Taxation of License Orders
  • Tax is charged for an entire order when CD/DVD media or documentation is purchased with licenses. ITS generally has the media available to install your software, so you don't need to buy it.
  • If you do not purchase media when ordering from SHI, you will not be taxed when you certify this statement on the order form:

    “All products purchased on this order are to be distributed via electronic download only. No tangible media or documentation is to be shipped in association with this order. Access to the products purchased on this order is in no way dependent upon any tangible media that may have been received prior to, or separately from, this order.”

License Type Descriptions
When ordering software licenses, you will encounter different terms for different types of licenses.

  • LICENSE ONLY = Buy one license per UCSC computer you plan to install the software on.
  • PERPETUAL LICENSE = A license with no expiration date.
  • CONCURRENT LICENSE = for Lab computers. Allows a fixed number of users access to the product at a given time.
  • UPGRADE LICENSE = generally, if you are running the most current version of the software, you can buy an UPGRADE LICENSE when the next version is released. You may have to provide proof of purchase of previous order to vendor. If your install is not the most current version, then buy LICENSE ONLY.
  • ESD License = License with Electronic Software Delivery. Software is not taxed if no media is purchased.
  • MAINTENANCE = When purchased with LICENSE, this will allow you to upgrade when a new version is released for the term of the MAINTENANCE contract.
  • SOFTWARE ASSURANCE, (SA) = Microsoft term for maintenance that allows for upgrades to the most current version of software during the contract term of the UCOP/Microsoft agreement. In February of the second and third year of contract the SA price is reduced. To continue to be eligible for upgrades, SA needs to be repurchased again at the start of the next three year contract cycle. January '08 starts the contract cycle with renewal by January 31, 2011.
