Asana Service Ending October 11, 2024

Due to campus budgetary challenges, the centrally-funded Asana service will end for UCSC and will no longer be available under the UCSC campus-wide contract on October 11, 2024.

Although UCSC is ending its Asana contract, you may continue using the service beyond October 11. Here are two options:

Option 1: Purchase an Advanced or Enterprise Asana license

How to purchase:

Please contact Rich Sakofsky at rich.sakofsky@cdwg.com before as soon as possible to ensure your service is not impacted. 

  • Step 1: Determine how many and what kind of user licenses you need 
  • Step 2: Request a quote from the CDW Account Manager, Rich Sakofsky, providing him following information:
    • Asana Team name
    • How many user licenses you need
    • First and last name of each user
    • What license type you’re purchasing: Advanced or Enterprise
  • Step 3: Once you receive the quote from CDW, attach it to your CruzBuy requisition and submit per your standard procedures.
  • Step 4: You will receive a CDW confirmation email once the order is processed. 
  • Step 5: On Oct 12th your Asana instance will be created. 

Licenses must be purchased in buckets as follows:

  • Increments of 5 (up to 30 seats)
  • Increments of 10 (31-100 seats)
  • Increments of 25 (over 100 seats)

To improve collaboration across an academic or administrative division, divisions may choose to purchase license buckets and then assign department administrators as needed to manage user licenses.

Please coordinate with your division/unit/department’s authorized purchasing staff member to complete the purchase.

Option 2: Use Asana's personal/basic (free) version

If you don't purchase an Advanced or Enterprise Asana license, your UCSC Asana account will automatically convert to the personal/free version on October 12. You will still have access to your Asana projects and work, but premium features like portfolios, will be unavailable. No data will be lost, but you will not be able to see paid features and may need to export portfolios to retain access. Here are instructions for exporting your portfolios.

Export your data

If you no longer wish to use Asana, you can export your data and delete your account.
