MiCollab Softphone Service
MiCollab is a softphone service that departments can choose to use instead of desk phones. The MiCollab Softphone service is a software application that runs on a computer or mobile device and functions as a UCSC campus extension but without the physical desk phone.
This allows you to make and receive calls from your workstation or mobile phone using your campus extension.

- Calls are routed to/from UCSC phone numbers, not personal mobile phone numbers.
Cost: $212 one time fee per user
Request Service
Before submitting a request, departments will want to consider whether staff should use MiCollab Softphone as a replacement for their campus desk phone and use their current extension, or to keep the desk phone and extension and add a new extension for MiCollab Softphone for an additional cost.
- Your facilities manager can request this service for you or your department. A FOPAL is required to order this service.

After your MiCollab Client account has been created, you will receive:
- A welcome email message that provides your MiCollab Client login credentials. Retain this email message in a secure location for future reference. The email will be from an address similar to noreply@mitel.easydeploy.net
- The URL to the Web Portal
- Other important MiCollab Client information

Download MiCollab Softphone Desktop Software
After you are granted access to MiCollab softphone, you will receive an email with a link to install the MiCollab desktop software on your Windows 10 or macOS device. When you receive the email, follow the steps below to install and set up MiCollab softphone on your desktop.
- Click either the Download on the App Store or Windows image to download the MiCollab software on your respective device.
- After the software is installed, review the user license agreement and click Accept.
- Enter your authentication key provided in the email described above and click Apply.
- Accept the emergency calls warning.
Use MiCollab Softphone
Make a call
Enter a contact's name or 6 + 10-digit phone number (6 1(XXX) XXX-XXXX) in the search bar located at the top of the window.Receive a call
When you receive an incoming call, a notification will appear in the bottom right corner of your computer screen. Click on the notification to be redirected to the Call Ringing window.
- To answer a call, click the green phone icon.
- To ignore a call, click the red phone icon.
Active call controls
End a call
To end a call, click the red phone hang up icon in the active call window.
Transfer a call
- While on an active call, click the icon with three vertical dots and then select
Transfer. - Select a contact or type a 10-digit phone number in the main window.
- Choose whether you want the transfer to be a blind transfer or consultation call.
Make a conference call
While on an active call, click the icon with three vertical dots and then select Conference.
- Select a contact or type a 10-digit phone number in the main window.
- Click the icon for conference calls.
- Click the + (plus) icon to finish setting up the conference call.
Put on hold
While on an active call, click the pause icon to place the call on hold. When you want to resume the call, click the pause icon again.
Accessing voicemail
When in the MiCollab application:
- Select “Phone” from the primary navigation.
- Select the “Voicemail” tab.
- When prompted, enter your five digit campus extension number in the “Username” field.
- Enter your campus voicemail system password in the “Security code” field.
- Select “Remember me on this computer.”
- Select “Sign In.”
